We book 100+ sales meetings every month through LinkedIn content, ads, and outbound.
By the time a prospect shows up to the call, they've been nurtured 9+ times, our prep time is under 5 minutes, and the account is fully enriched in HubSpot.
Here's the workflow behind it.

1. Capture and qualify
Every prospect starts with a form on our site:
A 2-field form on our website captures name and email
They're redirected to an application form (partials are saved)
Questions pre-frame our offer and prep them for the call
Qualified answers show the Cal.com booking page instantly
Partials and unqualified submissions trigger a Slack alert
2. Data enrichment
After they book, everything runs in the background:
Cal.com assigns a rep and sends the booking to Clay
Findymail enriches for company data and headcount
BetterContact finds their phone number
Claygent researches funding and their ICP
Claude drafts a summary and n8n sends it to Slack for approval
3. Lead nurture
Approved leads get nurtured before the call:
4. HubSpot lead creation
After that, it all lands in HubSpot:
Look up the contact by email and the company by domain, in parallel
Update the contact if it exists, create it if it doesn't
Update the company if it exists, create it if it doesn't
Associate the contact and the company
Only then, create the lead with a meeting prep note
5. After the call
All meetings are recorded with Ergo, which then:
Writes the notes
Drafts the follow-up email
Updates the lead stage
Updates the CRM properties
Proposals are drafted automatically through Qwilr.
So what do you do with this?
A lot of inbound teams lose meetings because the prep, enrichment, and follow-up take too long to do consistently.
Everything that happens between booking and the call is what makes inbound actually scale.
