Hey there!

Here’s the #34 edition of Workflows Weekly, with a few workflows, tools, and ideas to scale your go-to-market systems.

Let's get into it.

Your HubSpot instance has years of technical debt: duplicate companies, empty custom fields, and legacy migration properties nobody remembers creating.

The fix: a systematic cleanup that clears out the mess without breaking the systems that are still running on top of it.

Here's how it works:

  • Audit custom fields across Company, Contact, and Deal, and segment by fill rate.

  • Protect active systems: flag every property tied to sequencing, signals, or attribution.

  • Delete empty fields in bulk.

  • Review medium-fill fields (5-49%) one by one for active workflows.

  • Merge exact domain duplicates in bulk, primary record by deal count and create date.

  • Review same-name duplicates manually to keep branches linked through Parent Company.

  • Document every change and set a quarterly audit.

2. Which AI tool you should look into

Workflows.io is a fully remote team, and async video is how we share updates without sitting on GMeet for another hour.

Loom lets you record a quick video and drop the link in Slack.

Also it lets you:

  • Record your screen, voice, and camera together in up to 4K

  • Auto-generate video titles, chapters, summaries, and action items with Loom AI

  • Remove filler words and silent gaps automatically for cleaner recordings

  • Track who watched, how long they watched, and what parts they replayed

  • Turn a video into a text doc, bug report, or step-by-step guide in one click

3. What GTM resource we found useful

I just released a full YouTube video on the B2B lead gen funnel we use at Workflows.io, based on going from 0 to $3M ARR in 12 months and running the same system for 250+ companies.

You'll see:

  • The full 6-stage funnel with every channel and sub-channel mapped out

  • What we're actually doing across LinkedIn content, outbound, ads, and partnerships

  • The exact lead capture, nurture, and conversion setup we use on our own site

  • The qualification flow that filters bookings before they hit the sales team

  • The expansion and retention motion that adds another $20K/month on top of recurring services

4. AI news of the week

OpenAI just updated GPT-5.6 Sol to be more focused, accurate, and consistent across instant and thinking modes.

The bigger news is for free users: GPT-5.6 Luna is now the default free model, with unlimited text chats and a new Think button for harder questions.

A few things to know:

  • New reasoning slider on Plus and Pro lets you set how much thought ChatGPT puts into each response

  • Free tier now runs GPT-5.6 Luna with unlimited chats plus a Think button (subject to abuse guardrails)

  • 1 billion people use ChatGPT weekly, which is now the biggest driver of AI-native buyer research

That's a wrap for this week.
